4.1. Personal data is processed on committee members, club members, conference delegates, sponsors, speakers and any persons or organisations that have been involved or have benefited (i.e. Agricultural Colleges receiving the Digest publication for scientific reference) from the club or its activities. The categories of person about whom we process data are described in more detail in the Annex to this Privacy Statement.

6. How we will use information about you
We will only use your personal information when the law allows us to. Circumstances where your personal information may be used include:

6.1. We will generally process your personal data for contractual necessity in providing membership services and events. 7. Recipients of Data
7.1. We may use service providers to help us provide you with our services which include the distribution of the newsletter (within the Cattle Breeder magazine), digest and conference information. Personal data may be transferred to such service provider, who act for or on our behalf, for further processing in accordance with the purpose(s) for which the data was originally collected or may otherwise be lawfully processed.
7.2. Such third parties have contracted with us as data processors under the requirements in the GDPR. They are contractually bound to only use personal data for the agreed purpose(s). Relevant persons working for these third parties will have access to your personal data under the terms of the data processor contract, but only to the extent necessary to perform their services for us.
7.3. These data processors agree to implement reasonable contractual and technical protections, to keep your data confidential, not sell your personal data to third parties and to not disclose your personal data to third parties except as may be required by law, as permitted by us or as stated in this Privacy Policy.

8. Visitors to the BCBC Website
8.1. This website collects and uses personal information for the following reasons:
8.1.1. Site visitation tracking
Like most websites, this site uses Google Analytics (GA) to track user interaction. We use this data to determine the number of people using our site, to better understand how they find and use our web pages and to see their journey through the website.
Although GA records data such as your geographical location, device, internet browser and operating system, none of this information personally identifies you to us. GA also records your computer’s IP address which could be used to personally identify you but Google do not grant us access to this. We consider Google to be a third party data processor.
GA makes use of cookies, details of which can be found on
Google’s developer guides. Disabling cookies on your internet browser will stop GA from tracking any part of your visit to pages within this website.
8.1.2. Contact forms and email links
Should you choose to contact us using the contact form on our Contact us page or via email, the data will be collated into an email and received by BCBC through our email provider.
8.1.3. Email newsletter
If you choose to join our email newsletter, the email address that you submit to us will be forwarded to MailChimp who provide us with email marketing services. The email address that you submit will not be stored within this website’s own database or in any of our internal computer systems.
Your email address will remain within MailChimp’s database for as long as we continue to use MailChimp’s services for email marketing or until you specifically request removal from the list. You can do this by unsubscribing using the unsubscribe links contained in any email newsletters that we send you or by requesting removal via email. When requesting removal via email, please send your email to us using the email account that is subscribed to the mailing list.
If you are under 16 years of age you MUST obtain parental consent before joining our email newsletter.
While your email address remains within the MailChimp database, you may receive periodic newsletter-style emails from us.

Where do we obtain your personal data from?
Most of the personal data is received direct from you (the data subject). However, information may be received from third parties (e.g. websites).
How long do we hold your personal data for?
Personal data will be retained in accordance with statutory requirements and the club’s retention policy which is available upon request.
Are you obliged to provide us with your personal data?
You are not obliged to provide the personal data in question. However, if you do not provide the personal data, we will be unable to perform any contract we have with you for the provision of membership services, conference booking or other event services.
Recipients of your personal data
We disclose data to the following for the purposes of distributing the Cattle Breeder magazine (BCBC Newsletter) and conference administration.
Shepherd Publishing – Receive name and addresses only of members and past members who have subscribed to receive the Cattle Breeder magazine as part of the BCBC membership.
Telford Hotel & Golf Resort – Receive name and addresses only of delegates attending the conference as residents in the hotel.
BCBC PR representative – Receive contact details of conference speakers and sponsors for marketing purposes pre and post conference i.e. to produce articles within the press, relevant websites and social media posts.
